Microsoft has “made it its priority” to help the IT world become greener by ensuring computers are as energy efficient as possible, according to an environmental website.

Giving an insight into the world’s largest software company, Mother Nature Network points at virtualisation and systems like hosted Microsoft exchange as examples of where the company has helped businesses become greener.

It adds that although its green data center and PC refurbishing also help, virtualisation can reduce energy by up to 90 per cent.

Migration Assistance

One of the biggest trends from hosted Exchange providers currently is offering some form of migration assistance package. “The industry today has seen mostly early-technology-adopter types, and they’re self-doers. A lot of those people are fine with their own migration even if they have to do a lot of manual effort,” McCormick said. “But more and more, as we move to the mainstream and the masses come to the cloud . . . they require the full-service migration.”

Intermedia has been ahead of the curve in this area, offering a free Exchange Concierge service with dedicated staff for migration assistance, but the field is catching up. Pay close attention to exactly what your provider offers. Some will provide only phone support; others might offer on-site support but at an additional fee; some might have documentation or training materials both for IT staff and end users. Apptix, too, has focused on this customer service angle. “The trend used to be, it was hands off. You never talked to us. Those days are changing a lot,” Bond said. The Move

For most organizations, the migration is probably going to involve exporting data from your current Exchange servers and transferring them to the new host. However, larger and more complicated moves could involve setting up dedicated data pipes and installing agents to synchronize the systems before cutover. Planning Ahead

As a first step, you’ll want to have a clear picture of your current network and messaging infrastructure and know what your needs are going to be going forward. You’ll need to figure out how much legacy data you’ll be moving over to the hosted service because that will determine both how long the migration will take and what migration methods you’ll use. This might be a good time to consider whether you need to maintain fifteen years of email correspondence or only two or five.

As Exchange expert Tony Redmond said, “You need this intense data gathering exercise to understand just what happens inside your internal network
before you even have that initial discussion with the hosted provider and say, ‘We’ve got this huge mess inside our internal network and we’d like to make you responsible for it and we’d like you to deliver 99.999 percent uptime.’ You haven’t got a hope in hell of having an intelligent discussion unless you know what you’re talking about.” The larger an organization is, the more complicated the systems are likely to be and the more data they’re likely to have—and the less likely it is that the organization has a clear picture of how it all fits together.

Microsoft said Wednesday the next version of Office for Mac  will get two key features that were part of the latest Windows version: photo editing and mini charts in Excel, known as Sparklines.

It’s a great new day for access control management in Microsoft Exchange 2010. Older versions of Microsoft Exchange worked off the Windows access control model, which uses access control lists (ACLs) and a permission structure with hierarchal levels. ACLs are made up of access control entries and security identifiers (SIDs), and really, if you’ve been in IT for more than a day, you know how all of these combine in Windows to provide object access control. The combination of allow/deny access with a combination of permission settings on object — or in this case, on mailboxes and public folders and so forth — is all part of the Windows world.

Older versions of Exchange combined that concept with predefined administration groups you could assign. For example, in Exchange 2003 you can assign one of these three: Full Administrator, Administrator, and View Administrator. Exchange 2007 SP1 provides four administration groups: Organization Administrators, Recipient Administrators, View-Only Administrators, and Public Folder Administrators. I have to admit that the Exchange Management Shell (EMS) has spoiled me a bit. I like working from the command line not because there’s anything wrong with the Exchange Management Console (EMC) in Microsoft Exchange Server  2010 and Exchange 2007, but because, to me, EMS is more interactive, more immediate, and much more flexible. Because EMC uses EMS behind the scenes, you can do everything from the command line that EMC does, but not vice versa.

Get Added Security, Not Just Savings

Though reluctant to discuss specific costs, Day says the value in moving to BPOS is to gain more capabilities without a huge increase in the cost.

“We did a very detailed cost comparison between re-architecting what we have on-premise versus a Microsoft BPOS solution and the cloud option won,” says Day.

Dow is doing a big uplift from Exchange 2003, with its limited mailbox sizes and quotas that just don’t cut it in today’s corporate e-mail environment. Users who have upgraded their iPhones to iOS 4 may have experienced delays while syncing with Microsoft Exchange.

These users may notice that applications like Exchange ActiveSync Mail, Contacts and Calendar take an inordinate amount of time while connecting to the server or while syncing data.

Full-text indexing is an under-appreciated, but very valuable, feature in Microsoft Exchange Server, which has been part of the product since Exchange Server 2003. Because the server maintains a full-text catalog of message and attachment contents, and handles all the indexing and re-indexing, users can search their mailboxes from a variety of clients. As a user, I love being able to search my mailbox from Outlook, Windows Desktop Search, OWA, and my iPhone  or iPad. Sure, there are some clients (I’m looking at you, Microsoft Entourage) that don’t support this functionality, but overall it’s a very useful feature. (Mobile clients can use Exchange Web Services to search the catalog, but not all vendors have implemented this feature.)

Microsoft has unveiled a new resource that will help businesses that sell or market its enterprise solutions, including SharePoint.

Called “Deploying Business Productivity Online Suite”, the site will include information on synchronisation and migration, as well as support for accelerators.

Consider this a public service announcement for MSPs administrating a fleet of Apple iPhone’s and a Microsoft Exchange Online deployment: any device running iOS 4.0 needs a patch to continue using ActiveSync. Here are the details.

Microsoft put out the alert in a blog entry dated July 6 (2010), offering a link to Apple’s own site to download the configuration patch necessary to fix the problem. If users don’t install this patch, the blog says, the offending Apple iOS 4.0-running device — which can be an iPhone 3G, iPhone 3GS, an iPhone 4, or even an iPod touch — can result in “degraded performance,” including an out-and-out inability to use ActiveSync with Exchange Online. With the release of the first service pack for Exchange Server 2010, Microsoft will continue to support hosting deployments. The launch of the public Beta of Exchange Server 2010 SP1 was accompanied by updated guidance from the Redmond company  focused on hosting deployments. The promise from Microsoft is that Exchange Server 2010 SP1 offers Hosting Partners the core feature-set of Exchange Server while allowing them to leverage advantages such as multiple customers deployment via single installations. At the same time, the software giant notes that it has worked to boost management and flexibility of the features delivered to customers.

Many organizations are grappling with whether to offload the hosting of their e-mail system to a vendor such as Google Inc. or Microsoft, use a third-party hoster, or go with a premises-based managed services offering. In late May, two enterprises — both with nearly 20,000 users — disclosed how they’re taking diverging paths to deploying large Microsoft Exchange 2010-based networks.

Owners of Google Nexus One phones have begun receiving updates to version 2.2 of the Android operating system, Google’s open source platform that is also used by Motorola and HTC. As shown in a Google marketing video meant for Android app developers, Android 2.2. has a faster browser and faster game play speeds.

Android 2.2 also enables Nexus One owners to use the Nexus One as a Wi-Fi base station, allowing up to eight other devices to connect to the Internet through the phone’s 3G wireless interface.

Microsoft has confirmed that the latest service pack is now available for users of Microsoft Exchange 2007.

SP3 can be downloaded from the company’s official website and is the third to be introduced over the past month.

Kevin Allison, general manager for Exchange Customer Experience at Microsoft, said: “This third service pack for Exchange 2007 enables Exchange 2007 to be installed on the Windows Server 2008 R2 version of the operating system.

“We heard you loud and clear that this is enormously important to our Exchange 2007 customers, so we worked quickly to deliver SP3 in order to meet this requirement.”

Another feature of the service pack is enhancements for the advanced protection options against e-mail security threats, such as spam and viruses.

Microsoft has updated a simulation tool designed for Exchange, tailoring the release to the latest iteration of Exchange Server. The Microsoft Download Center is now offering customers the possibility to grab the 32-bit (x86) and the 64-bit (x64) versions of Exchange Load Generator 2010. The simulation tool can be leveraged in order to assess the impact of MAPI, OWA, ActiveSync, IMAP, POP and SMTP clients on Exchange servers. According to Microsoft, Exchange Load Generator 2010 can be used in conjunction with both Exchange Server 2010 and Exchange Server 2007.

Microsoft has announced a new version of Windows Embedded: the Windows Embedded Handheld platform.

Announced at a joint event with Motorola on Wall Street at the New York Stock Exchange June 17, “Windows Embedded Handheld is a new software platform designed to meet key line-of-business (LOB) scenarios and boost productivity of the mobile enterprise work force by enabling users to capture, access and act on business-critical information where and when they need it,” Microsoft said in a news release.

The new features of Hotmail will begin appearing in users’ inboxes from today as Microsoft begins to deliver its next generation e-mail upgrades.

The improvements include a new Sweep menu, integrated Office Web Apps, new attachment limits of up to ten gigabytes using SkyDrive, and the ability to create and send photo albums from Hotmail.

There are practical innovations such as the ability to manage inboxes from other e-mail services such as Gmail and Yahoo, as well as the first and only virtual broom that lets users sweep unwanted e-mail out of their inbox in a few clicks. The new version also offers the ability to open attached documents in Hotmail using Office Web Apps and it enables users to send up to 200 photos, each up to 50 megabytes in size, all in one e-mail.

First, a disclaimer: Neither Alteva nor The VAR Guy are promoting e-mailing and texting while driving. The timing is a little suspect in the wake of the Monday’s Apple iPhone 4 presentation, but Microsoft has laid out the business case for Windows Phone 7, the latest version of their mobile operating system, in a blog entry that touts its integration with, what else, Microsoft products and services. Here’s the lowdown.

In the course of laying out Windows Phone 7’s value proposition, Microsoft Sr. Director of Business Experiences Product Management, Windows Phone Paul Bryan highlights the new focus on security and a feature called the “Office hub” which integrates mobile versions of their productivity apps into a single interface.

But the real takeaway from his argument, to my eyes, was his reiteration that there are very few enterprises not somehow invested in Microsoft’s product ecosystem. To help IT departments and corporate users better manage PST files, Microsoft has released two new tools that will allow developers and third-party utilities to access and manipulate the data inside of PST mail archive folders. Microsoft also decided to make both tools open source in order to allow the IT community to extend them even further.

Dealing with mail quotas has long been the biggest headache of using Microsoft Outlook with a Microsoft Exchange mailbox. It’s necessary because when the mailboxes get too big they can take too long for users to load and can also clog up the Exchange servers. IT people at the U.S. Centers for Disease Control and Prevention need to use their high tech skills to fight the H1N1 flu or stop the spread of tuberculosis — not manage the e-mail system. So the federal agency turned to a company called Azaleos Corp. to manage its migration from the Microsoft Exchange 2003 e-mail server to Exchange 2010, a process they started this week.

As many enterprises who read Network World have told us, migration to a new OS, browser, software suite or other technology is a complicated task that has to be studied carefully and well planned out. The cost of the upgrade has to be compared to the potential benefit of what improved productivity the upgrade may deliver. The experience of Azaleos switching the CDC to Exchange 2010 could serve as a case study to help other enterprises decide what to do, although migration may only really pick up once the Microsoft Outlook 2010 client side of the e-mail system becomes more widely available. The Kentucky Department of Education is replacing its e-mail servers with a free cloud-based offering from Microsoft, one that will supply 700,000 students, faculty and staff with e-mail and other information-sharing tools.

By going with a free, cloud-based offering, the state expects to save US$6.3 million in IT-related costs over the next four years.

Each user of Microsoft’s Live@edu will get a 10GB e-mail inbox, along with 25 gigabytes of additional file storage. The service will also include document sharing, instant messaging, video chat and mobile e-mail capabilities.

Microsoft Corp. is pleased to announce the next wave of Microsoft Office and related products. Designed to deliver a unified experience across the PC, phone and browser, this wave includes Microsoft Exchange 2010, Microsoft Office 2010, Microsoft SharePoint Server 2010, Microsoft Visio 2010 and Microsoft Project 2010.

Microsoft’s Office 2010 and SharePoint 2010 beta programs were the largest ever, with three times the number of participants compared with the Office 2007 beta program. As a result, 8.6 million people are already using Office 2010 and related products. In addition, more than 1,000 partners are already building solutions for the 2010 set of products. Server virtualization technologies have become so commonplace that they’re the de facto standard for server deployment in many organizations. It’s becoming more and more common to run into data center environments that operate with the assumption that all new servers will be deployed as virtual guests—unless there’s some specific reason not to virtualize. This situation is a significant change from even just a few years ago whfen the question was reversed, and servers were deployed on physical equipment unless there was a specific reason to virtualize.

Exchange spam filters are generally simple though efficient solutions that use various methods for identifying incoming mail as spam. These methods include blacklist checking, keywords matching, blocking by identified spam hosts and checking mail in search of multiple domains. The respective database for instance MS SQL or MS Access may be used for the storage of the spam identifying rules as parameters. These have a capacity of being run concurrently with the active directory to ensure a provision of additional Exchange spam filters and spam detection capabilities. The default database may be used by spam filters for the storage of keywords.

Keyword checking is a widely used method for filtering spam and works by scanning the body and subject of the email. The use of keyword combinations or conditions is an ideal solution for enhancing filtering efficiency. A combination of those words whose appearance in the email is guaranteed should be specified in order to block any message that is inclusive of this combination of words. Filtering through keywords as a form of Exchange spam filters is an essentially useful option since it enables the defining of entire phrases in a bid of filtering emails accordingly. Some customers are finding that when they try to replicate their public folder content to Exchange 2010, it will not replicate. Looking at the application log, you may find an event like this:

Log Name: Application

This happens because we assume that if a Servers container exists, there will be a System Attendant object somewhere inside it. However, in an environment where Exchange 2000 or 2003 previously existed, and all those servers have been removed, you probably have a First Administrative Group or some other Administrative Group still hanging around with a Servers container, but no servers inside it. When the Exchange 2010 Store Driver stumbles across this empty Servers container, this error is the result.

Azaleos Corporation, the managed messaging and collaboration provider, has released the results of a study that finds that 44% of companies with 1,000 seats or more plan a move to Microsoft Exchange 2010 in the next 18 months. Here’s what Azaleos has to say about the stats.

The independent study, financed by Azaleos but conducted by Osterman Research, found that the most major drivers of Exchange 2010 migration are its large mailbox capabilities (50% of respondents), improved storage flexibility (50%), archiving and retention policies (48%), and disaster recovery features (40%), according to the press release.

Microsoft Corp. has been ramping up its cloud-based Exchange Online offering for its largest customers — even though that may mean cannibalizing its own on-premises Exchange Server installed base.

Microsoft has always offered an online option for Exchange Server through its business partners. But that traditional hosted service offering, now called Exchange Online Dedicated, simply moves a dedicated Exchange Server infrastructure to someone else’s data center.

Exchange Online Standard is different. The shared, multitenant service, launched 18 months ago, is a true cloud offering that competes more directly with the Gmail and Calendar components of the Google Apps for Business service. Although the online version of Exchange was initially focused more on consumers and small businesses, Microsoft has gotten aggressive in targeting the service toward larger users — even though that means cannibalizing its on-premises Exchange Server business. Read the rest of this entry »

1. Microsoft Exchange Server is part of the Microsoft Windows Server line, and is intended to deliver a platform for messaging and collaboration. The primary features of Exchange Server include email, calendaring, contacts and tasks. - Security: Exchange Server now includes anti-spam and anti-virus filtering, as well as encryption technology. This protects users’ data from outside intrusion and corruption.
- Data Protection: Exchange Servers can be used in a cluster environment, which replicates the data across several servers and guarantees its availability. In this way, there can be no single point of failure; if one server goes down, the other servers will pick up the slack and continue to provide data to users.
- Unified Messaging: Exchange Server allows users to receive voice mail, email, and faxes in their mailboxes. In addition, remote users can access their mailboxes from cell phones and other wireless devices.
- Improved IT Experience: Exchange Servers are completely scalable, and include 64-bit performance. There is a simplified graphical user interface (GUI) to make administration easy, and an improved deployment and routing process.

By now many of you have leveraged the Exchange 2010 Mailbox Server Role Requirements Calculator. And my name is forever cursed as a result. Why wouldn’t it be with over 116 questions that have to be answered and nearly 30 results tables? Yes, the calculator was complicated; I’m sure many of you have thought, “what in the hell were we thinking?”

And let’s face it, there are a number of smart folks that have used the calculator and hats off to you guys for questioning our formulas. Yes, I hate to admit it, but we made up a bunch of the calculations (and by we, I really mean Greg Taylor; that guy doesn’t know anything about storage, but loves Excel and has coveted owning the storage calculator for a long time). Honestly, we didn’t try to make it that difficult, but there were some back room deals with certain vendors that resulted in our hands being tied (yes there were some awkward photos of the ESE and HA teams that sealed our doom). Apple made a subtle move to push the iPad towards businesses of all sizes last week after the company posted a new web page, which presented good reason why your business can use the iPad. We think you might be seeing more iPads at work after spending the week end with our iPads. Apple points out that the iPad works with Microsoft Exchange Server 2003 and 2007 and will allow you to get push e-mail, calendar events, and contacts securely over the air. You can search your messages, create and manage calendar events, get directions to your next meeting, and access your Global Address List. Although we did not test the Server side of this we found a pleasant surprise with the Mobile Safari browser on the iPad — we were able to access, via the web, the Outlook Web Access (OWA) versions of our e-mail when the back end was either Exchange Server 2003 or 2007. Neat! They go on to tout the powerful tools available for businesses that adopt the iPad, including white papers on Enterprise Deployment Scenarios and Security Overviews. With the launch of Exchange 2010, we have introduced a new way to manage the set of languages available for Exchange.

In previous versions of Exchange, you had one server language per DVD. In Exchange 2010, we have changed to a new language neutral design. This allows us to release all available languages in a single DVD. We can also add and update additional languages over the lifetime of the product.  This model also allows us to easily update the translation quality over the lifetime of the product. We are no longer dependent on component updates or service pack deployments.

On top of the usual complement of IT-driven fixes, Microsoft plans to include myriad features in the first service pack for Exchange Server 2010 when it ships later this year.

More like a feature pack, Exchange Server 2010 SP1 includes archiving and discovery enhancements; better Outlook Web App (OWA) performance; and mobile user and management improvements. One of the most important new features in SP1 is the ability to provision users’ personal archive to a different mailbox database than the primary mailbox.
